Activity Capture
Activity capture uses AI to log emails, meetings, calls, and site visits against the right contacts and opportunities in a construction CRM. It gives business development teams a usable relationship history without manual data entry.
Why it matters in construction
Relationships win negotiated work, and relationships live in inboxes. When a project executive leaves, the firm loses five years of context along with the person: who they talked to at the owner, what was promised on the last job, which architect introduced them. Even with the PX still there, nobody else can tell how warm an account is or when the last touch happened.
Activity capture records that history as work happens. Emails, meetings, and calls attach to the relevant people and pursuits, giving the CRM a record of what has happened with an account.
How it works
- Connect. The CRM plugs into the firm’s email and calendar system. Phone systems and meeting transcription tools can connect too.
- Filter. The system only looks at messages and events involving known contacts, known company domains, or references to tracked opportunities. It ignores everything else.
- Classify and link. A language model reads each item, identifies the participants, determines which opportunity it relates to, and classifies the activity type, such as intro meeting, follow-up, site visit, or proposal delivery.
- Summarize. The model condenses long threads and meeting transcripts so a teammate can get up to speed without reading the full record.
- Surface. Activities appear on the contact, company, and opportunity timelines, and drive metrics like last touch date, touches per opportunity, and days since contact.
The filter step is where trust is won or lost. Nobody will connect their inbox to a system they believe is reading everything, so the capture rules need to be visible and adjustable.
Example in practice
Consider a commercial GC pursuing a 22 million dollar higher-education lab renovation. Four people touch the account: a principal, a PX, a precon manager, and an estimator. Over eight weeks, they exchange about 60 emails with the university’s facilities group and the architect, hold six meetings, and do two site walks.
The activity appears on the opportunity timeline without anyone logging it. Before a call with the associate vice president of facilities, the principal asks for a status. The PX checks the timeline: the last touch was nine days ago, the architect raised a phasing concern in the last meeting, and the estimator sent a preliminary budget of 21.4 million dollars on the 14th. If the PX moves to another firm a year later, that account history remains with the company.

What counts as an activity?
Emails sent and received, calendar meetings, phone calls if a call system is connected, and notes or transcripts from site visits and interviews. Each is timestamped and linked to the people and opportunity involved.
Does activity capture log personal or unrelated email?
It should not. Good tools capture only threads involving contacts or domains already in the CRM, or ones that clearly reference a tracked opportunity. Users should also be able to exclude specific threads or domains.
How does the AI know which opportunity an email belongs to?
It matches on participants, project names, addresses, and references in the message body, and it uses the language model to resolve ambiguous cases. When it cannot decide, it logs the activity against the contact and asks for a project assignment.
